Second call. Attendees: Todd, TK, Jen, Jordan (AM lead), Cindy (new AM), Charles (head of tech, Golden State — observer) + Ricki & Joshua. Walked through account-management workflows: Jordan's manual Jeep weekly site-served reporting (paid + organic data → Google Sheet → client Excel), end-of-campaign mega-decks, campaign trackers, Cindy's road tracker, RFP fire drills ("20 people with spears"), post-production repurposing (root content → ~50 formats), biz dev (3 people doing job of 10). Charles flagged: no AI contractual language with clients yet; team is using personal Claude/ChatGPT with client data. Verbal agreement on structure: Phase 1 = foundational package (team Claude account, Granola, company brain, training) + per-person workflow audits; Phase 2 = deeper builds by bucket (biz dev / production / account mgmt). Todd wants fixed-bid fixed-scope, MNDA signed ASAP, and a parallel smaller-group convo on long-term structure. Possible expansion into Golden State + other portfolio companies. Decided: ARK sends phase-1 scope same-day; Emergent sends MNDA; Jordan emails blinded Jeep report examples; they share RFPs (incl. lost ones) via Box folder.
